Contact and address

When you create a new tax return, TaxCycle inserts the Organization and Preparer details stored in options into the Engagement worksheet. This contact information is then used on various forms and correspondence. 

Contact and address

  1. To open options, go to the File menu, then Options. Or, if you are on the Start screen, click Options in the blue bar on the left. The settings below are accessible from section on the left-hand side of the Options dialog box.
  2. On the left, expand the Organization section and click on the Contact and Address page. 
  3. You can set both a legal name and an operating name, if need be. If you set an operating name, it will appear in the letterhead of all built-in letter templates, unless you modify the letterhead snippet (learn how to do this in the Snippets: letterhead and closing help topic.)
  4. Enter the full mailing address. Unless you change it on other pages, this address will be used for forms when filing, contact information in letters and will be sent to the government authorities as required.
  5. In the Contact section, enter the name and email address of the contact person for the whole firm.
  6. Check Use default email client sender address to use the settings in your email program when you send email. This is useful if you are sharing this page with others as TaxCycle will not override the From field on any new messages it creates.
  7. Enter phone and fax number(s) and your firm's website, as required.
  8. If you are using Options Profiles to share settings across your office, add this page to the Profile if you want everyone to share the same address settings.

Correspondence

On the Correspondence page, insert the logo and signature that will appear on the letter templates. Include this page in Options Profiles if everyone in your office should will share these settings. (Read the Signature and logo help topic to learn more.) 

  1. Save your logo and signature image files into a folder on your computer or accessible on your network. If others also need access to it, remember to share it with Windows permissions.
  2. To open Options from the Start screen, click Options in the blue bar on the left side of the window. If you have a file open, go to the File menu, then click Options.
  3. On the left-hand side of the dialog box, expand the TaxCycle section, then the Organization section, and click on Correspondence.
  4. Click the Browse button to choose a image file for your logo.
  5. Click the Browse button to choose a image file for your signature.

  6. You can share these options using Options Profiles as long as the path to the images is a network UNC path. For example: \\computername\folder. The folder must also be shared with Windows® permissions so that it is accessible from other computers. 
  7. If you shared this page in Options Profiles and you want each individual preparer to set their own signature. Do not include the Preparer page in the Option Profile and then each preparer can add a link to their signature file there. 
  8. Click Apply or OK to save your changes.

To check that the signature and logo are working, open a T1 tax return, press F4 and type CLetter to open the built-in client letter. The logo appears at the top right of the letter and the signature at the bottom.

Preparer

On the Preparer page, enter the name, designation and signature for the individual preparer. If you are using Options Profiles, exclude this page and then each preparer can set their own information.

  1. To open options, go to the File menu, then Options. Or, if you are on the Start screen, click Options in the blue bar on the left. The settings below are accessible from section on the left-hand side of the Options dialog box.
  2. On the left, expand the Organization section and click on the Preparer page. 
  3. On the right, enter the preparer's name, details, etc.
  4. If you are a third-party AT1 Net File service provider, answer the question with Yes and then indicate the type of service provide you are.
  5. Complete the fields under Representative Details if you need to display a different name on CRA or Revenu Québec forms. This information will then be used to populate the field in Preparer/Firm representative section on the Engagement worksheet. Information in these fields is used on government forms NOT used for authorizations, such as the T1, T183, T1013, T1-ADJ, TP1000, TP1R (TP1ADJ).
  6. To configure a signature file for the preparer listed on this page, click the browse button to find the signature on your computer. You should first save your signature image file into your default templates folder
  7. If you wish to use an different email address than the one set on the Contact and Address page, clear the Use Organization contact details check box and enter it here.
