Add/Invite a Client to TaxFolder

From the Client Dashboard, you can add a client to TaxFolder to send an invitation to your client to create an account and share documents with you.

Unique Email Address Required

You cannot add a person as a team member AND a client using the same email address. If you want to send documents to yourself or others who have access to the TaxFolder Client Dashboard, you must use a separate email address when you treat those people as a client (request signatures, etc. from them). It cannot be the same email address they use to sign in to the Client Dashboard as a tax preparer.

In addition, when you go to sign a document sent to that "client" email address, we also recommend using a different browser (not just a different browser window or tab). While you may first sign out of the browser where you are signed in as a preparer, using a different browser ensures it applies the correct sign in session and cookies.

  1. Go to the Client Dashboard.
  2. Click the Client List or Pending tab.
  3. Click the Add Client button.

  4. In the dialog box that appears, enter the taxpayer’s name, email address and phone number. (For numbers outside of Canada, enter the country code.) The phone number is the mobile phone used for sending verification codes via text/SMS when sending documents for signature from the TaxFolder Client Dashboard. When requesting a signature from TaxCycle, it will use the mobile phone number in the TaxCycle file.
  5. Select the Return Type. The type of tax return the client is engaging you to prepare. For example, T1 is for personal tax returns and T2 for corporate tax returns. When TaxCycle creates an engagement through its print process, it automatically sets this property to the same as the file from which the form was printed. When you create the engagement through the Client Dashboard, you can choose other options, including "Legal," "Other" and "Forms" that you can't print from TaxCycle.
  6. Select the Tax Year. The tax year or tax year end to which the engagement applies. For example, 2000 for a T1 or 2020/12/31 for a T2 tax year end. When TaxCycle creates an engagement through its print process, it automatically sets this property to the same year or year end as in the TaxCycle file from which the form was printed. When adding an engagement through the TaxFolder Client Dashboard, you can only select from a list of years.
  7. Enter an Engagement Label. The label can be any text you wish. When TaxCycle creates an engagement through its print process, it automatically enters the client's name as the label. However, you can enter other text in the field if you wish, or you can select an existing label from the list. In the TaxFolder Client Dashboard, you can enter any text you want for a label when creating the engagement.
  8. Click the Add Client button to save and return to the Client Dashboard.

  9. TaxFolder sends two emails to the client:
    • An activation email with a link to activate their account and set a password. You can share the How to Sign in to TaxFolder PDF with your clients to help them with this step. The link in the activation email expires after 24 hours. You can resend the activation email from the client's record (see below).
    • An email inviting the client to sign in and upload documents to TaxFolder. You can send the How to Upload Documents in to TaxFolder PDF or the link to the video to your clients to help them with this step.
  10. At this point the client shows on the Pending tab in the Client Dashboard. You must now assign the engagement to a preparer before you can request signatures from TaxFolder.
