Correspondence Options

Even if your license does not include the Template Editor, you can add a logo and signature to TaxCycle's default letters.

Image Dimensions

If you're using the built-in templates that come with TaxCycle, the following guidelines will help you to create a great look with your logo and signature:

  • Size your images before you link to them in options. (You can resize them in the Template Editor, but a correctly-sized image will give you instant results.)
  • Maximum recommended dimensions for logos: 250px wide, 120px high
  • Maximum recommended dimensions for signatures: 100px high
  • Preferred format: PNG or JPG

Signature and Logo Options

In 2020 and 2021, we enhanced Options Profiles and local options folder to accept image files that were previously only stored on the hard drive. If you have an existing options profile, we recommend adding those files to it. At some point in the future, we will be requiring everyone to transition their settings and template files to this new format. Please read the Move Settings and Templates to an Options Profile to learn how.

  1. To open Options from the Start screen, click Options in the blue bar on the left side of the window. If you have a file open, go to the File menu, then click Options.
  2. On the left-hand side of the dialog box, expand the TaxCycle section, then the Organization section, and click on Correspondence.
  3. Click the Browse button to choose an image file for your logo.
  4. Click the Browse button to choose an image file for your signature.
  5. If you share the Correspondence page in Options Profiles and you want each individual preparer to set their own signature, do not include the Preparer page in the Option Profile. Each preparer can then add a link to their signature file there.
  6. Click Apply or OK to save your changes.
  7. To check that the signature and logo are working, open a T1 tax return, press F4 and type CLetter to open the built-in client letter. The logo appears at the top right of the letter and the signature at the bottom.

Singular or Plural Pronouns

By default, TaxCycle templates use plural pronouns, including “we,” “us,” “our” and “ours.” If you prefer to address your clients using the pronouns “I,” “me,” “my” and “mine,” change the selection in options:

  1. To open options, go to the File menu, then Options. Or, if you are on the Start screen, click Options in the blue bar on the left.
  2. On the left, expand the Organization section and click on the Correspondence page.
  3. In the Singular or Plural Pronouns section, choose your preferred pronouns.
  4. Your selection applies to all built-in English templates in all 2019 and 2020 (and onward) tax modules. (It does not affect French templates.)
  5. If you wish to add similar code to your custom templates, you can also use this template syntax in custom templates.
